Executive Assistant

Wine Enthusiast Companies headquartered in Westchester County, NY is seeking an experienced Executive Assistant to join our team.

The Executive Assistant reports directly to the Co-founder in a one-on-one working relationship and at times is called upon to perform administrative duties for our executive management team. The person we are seeking is professional, highly organized, works with confidence, and can communicate effectively and professionally with a wide range of external and internal contacts.

The main responsibilities of this position include managing corporate travel, setting up meetings, handling executive lunch orders, protocol communications, management of office supplies, internet research, and assisting with data entry projects.

The successful candidate will have experience with all the aspects of making both domestic and international travel arrangements. As well, possess strong computer and internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff. This may include outside clients and vendors. Sensitivity to confidential matters is also a requirement.

Work will be performed at our headquarters located in Valhalla, NY. Art Director

Wine Enthusiast Companies, the leading full-service provider of innovative products and services for the wine lifestyle, is seeking a seasoned leader to serve as Art Director. Reporting to the CMO, this person will be a key member of the leadership team with a vision for progressive design and a keen vision for a high-end aesthetic. In this role, there will be accountability for leadership and the management of print catalog and digital assets. The ability to balance revenue generation with aesthetic vision is key. Ideal candidates will possess the necessary skill to handle varying priorities and extremely tight schedule demands.

Creative Leadership & Strategy:

  • Candidates should have a clear point of view that coincides with Management. Key is creating a cohesive, consistent look and feel across print, online, product packaging, and social media.
  • Develop design concepts & templates that match the ideal aesthetic of our customer base. Create seasonal strategies and themes for catalog layouts, covers and photography.
  • Manage and support the product photography, producing for both print & online, as well as for third-party resellers.
  • Work closely with Marketing, Merchandising and Inventory teams to build around promotions and important new product launches.
  • Manage copy process, layouts and production schedule for 7 unique print catalogs per year. Develop Product Packaging & Sales Decks for B to B presentation meetings.
  • Work directly with the Video & Web Design teams to enhance the presentation of all new products and promotions.

Qualifications/Professional Experience:

  • 10+ years of progressive creative direction.
  • Working knowledge of technology & creative software packages for designing catalogs.
  • Highly effective & impressive interpersonal skills and organizational communication skills.
  • Experience with consumer products and production environments. Experience with luxury retail a plus.
  • Demonstrable success in print catalog design of home furnishing and appliance products.
  • A strong sense of teamwork and the desire to grow a staff into a cohesive goal-oriented group.

Advertising Coordinator

We’re looking for a motivated and enthusiastic newcomer to the advertising landscape to grow with Wine Enthusiast Media! This role will focus specifically on our Label Sales program, which allows our alcohol beverage clients to promote their favorable Wine Enthusiast tasting panel ratings across the entire industry.

This role reports into our Buying Guide Manager and requires a nimble mindset that works across multiple databases and contacts both internally and externally. The current process is always evolving and there are numerous possibilities for this resourceful role to evolve with it!

Responsibilities:

  • Database management and cleanliness for client records
  • Data-entry and tasting panel assistance for wine, spirits & beer ratings
  • Client coordination and management
  • Providing label sales analytics and reporting to our Business Intelligence Manager

Requirements:

Chargeback Coordinator

Our Chargeback Coordinator research and investigate open claims and chargeback deductions, resolving disputes initiated by the issuing bank, and process all merchant chargebacks within the time frames established by card brands in order to prevent loss.

Using your chargeback experience, you'll evaluate the complaint, research the dispute and resolve it under the card bank regulations and rules, preparing and submitting the required documentation on chargeback cases .You'll review, analyze and process all re-presentments, pre-arbitration, arbitration, pre-compliance and compliance cases pending in the card brands portals, as well as review vendor guides and communicate possible non-compliance issues with internal team.

Responsibilities include:

  • Maintain a log on all pending issues with status of resolution for future reference
  • File disputes/claims by obtaining carrier or necessary documentation, submission and follow-up
  • Assist with additional chargeback projects or reports as assigned.
  • Dispute invalid deductions within the claim’s expiration time-frame, and follow through until resolved
  • Research and resolve high volume of customer deductions/chargebacks pertaining to shipping violation claims, allowances, discounts, damages, pricing, and shortages
  • Interact with internal departments during the process of validating deductions
  • Prepare and submit necessary adjustments for processing; Review and validate all chargeback activity for proper processing and reconciliation.

Director of B2B Business Development

As a nationally recognized brand and category leader, we have a unique opportunity for a motivated and entrepreneurial professional to join us as our Director of B2B Business Development. Reporting to the Vice President of Sales, this person will be responsible for developing and implementing strategic sales plans designed to ensure consistent growth and market dominance in the Retail and Wholesale B2B channels.

Responsibilities include:

  • Develop and mentor a motivated sales force to maintain and expand our existing national presence with brick & mortar and e-commerce retailers. (Current customers include Costco, Amazon, Wayfair, Home Depot, Best Buy, Lowes, Total Wine, Bed Bath & Beyond and more)
